This article explains how to complete and submit your timesheet so it can be reviewed and approved for payment.
Timesheets are used to record your working time (and, where applicable, expenses) for a pay period. Once submitted, your manager can approve them or request changes if something needs correcting.
When your timesheet is available
Timesheets are automatically generated at least one day before the start of each pay period.
Once a timesheet has been generated, you’ll be able to find it:
on your Xemplo dashboard, and
under the Timesheets section.
Each timesheet will display the relevant dates and days for that pay period.
Completing your timesheet
For each day in the pay period:
Use the drop-down menus to select the appropriate option for that day.
Enter your start and finish times, and any breaks if required.
Once you’ve completed one row, you can save time by using the “…” menu on the right to duplicate entries for other days.
This is helpful if your hours are the same across multiple days.
Saving or submitting your timesheet
After completing all required information, you’ll see the following options:
Save
Saves the timesheet without submitting it. You can come back later to finish it.Submit timesheet
Sends the timesheet to your manager for approval.Back
Returns you to the Timesheets dashboard.
Making changes after submitting
If you’ve submitted a timesheet and need to make a change before it’s approved, you can click Reopen Timesheet.
This allows you to:
update times or details
re-submit the corrected timesheet
Once a timesheet has been approved, it can no longer be edited.
What happens after submission
After you submit your timesheet:
Your manager reviews and approves it (or requests changes).
Once approved, it’s sent to EPG for verification.
After verification, the timesheet is processed for payment.
You can view verified timesheets at any time via the Timesheets menu in Xemplo.
Helpful to know
Timesheet requirements and approval processes may vary by role or client.
Make sure all details are correct before submitting to avoid delays.
If your timesheet isn’t approved straight away, it doesn’t necessarily mean there’s a problem.
If something doesn’t look right, you can submit a support request at any time.
